Completing and Submitting a CCV
Q: How do I complete the CCV “Supervisory experience” section?
A: On the main page of the Supervisory experience section, enter the correct number of currently (i.e., only within the last five years, not the total-to-date) supervised trainees as per the provided categories. After clicking the Save button, select the OICR-specific page, and enter details for the number of trainees listed.
Note: Six trainees are displayed on each webpage. To progress to the next page, select the Save button, then click on the “Next 6” button. Repeat as necessary until you have entered all current trainees.
To view the report, select the Preview/Print button. Make sure OICR is selected as the agency before clicking the “Preview/Print” button again.
Q: I have a completed a CIHR CCV. Can I transfer information to the OICR CCV?
A: Sections cannot be copied from the CIHR CCV and pasted into the OICR CCV. You will have to enter details for each section separately.
Q: I am attempting to validate my OICR CCV, but I am getting a system error. What’s wrong?
A: There are four fields that must be exactly the same on both your CaAwardNet account profile and your CCV account profile, for your CCV to be successfully validated. They are:
Last name; and
Date of birth.
If even a single character (including spaces) in one of the above fields is not the same on your CaAwardNet and CCV account profiles, your CCV will not be validated.
Note that if you have previously submitted your CCV to CaAwardNet, and you have since had your CaAwardNet system account email address changed (or have created a new CaAwardNet account with a different email address), then you will need to validate your CCV using the new CaAwardNet system account email address. To do so, go to the “Home – My CV” page of the CCV website, and click “Confirm my agency PINs” under the Functionalities section. Delete your previous OICR PIN-mapping, and then revalidate your CCV for OICR.
Q: I successfully validated, finalized and submitted my CCV. But when I log into my CaAwardNet account, the status of my CCV under the Activity Details section of the Portfolio page reads “not submitted”, or indicates a version submitted on a previous date. Why?
A: There may be a delay in the transfer of your CCV from the CCV website to your CaAwardNet account due to heavy traffic on either or both websites.
Note that if you have previously submitted your CCV to CaAwardNet, and you have since had your CaAwardNet system account email address changed (or have created a new CaAwardNet account with a different email address), then you will need to revalidate your CCV using the new CaAwardNet system account email address. To do so, go to the “Home – My CV” page of the CCV website, and click “Confirm my agency PINs” under the Functionalities section. Delete your previous OICR PIN-mapping, and then revalidate your CCV for OICR.
Q: I have previously submitted my CCV. I made some updates and resubmitted it, but the updated version is not included with my submitted Full Application on CaAwardNet. Why?
A: If you resubmitted your CCV after you submitted your application, the updated version will not be included with your application. You should verify that your updated CCV appears on your Portfolio page of CaAwardNet before submitting your application.
Q: How can I view my submitted CCV (including the Contribution Details attachment) and those of my co-applicants?
A: When you finalize and submit your CCV, a pop-up window will automatically apperar which contains your CCV as a PDF file (make sure your pop-up blocker is disabled beforehand). Your CCV (Contribution Details) attachment is not part of this file, but you can return to the OICR subsection of the CCV Contribution Details section to access the attachment.
If you are a lead applicant, you will not be able to view your co-applicants’ CCVs and CCV attachments prior to submitting the application. However, you can check if your co-applicants have completed their CCV submission. On the Co-Applicants page, click the Validate Page button. An error message will be displayed if any of your co-applicants have not submitted their CCVs.
Once you have submitted your application, click the Print/Preview icon next to your application on the Portfolio page. A pop-up window will allow you to view and print the full application file, all attachments, and CCVs and CCV attachments (both yours and those of your co-applicants).
Q: I am working on my ROI and my Institution is not listed in the Institution Name field. What should I do?
A: To request that your institution be added to OICR’s list of Ontario Institutions, contact the CaAwardNet Helpdesk at CaAwardNetoicr [dot] on [dot] ca. Please include the following information with your request so that we can process your request quickly:
- Full and exact name of the institution; and
- Web address (URL). If the institution does not have a website, please submit one of the following: mailing address, telephone number or email address.
Please note that we may not be able to accommodate your request if it is shortly before the ROI or FA closing deadlines. Please begin your applications early to allow time for any unforeseen difficulties.
Q: I am working on my Full Application and I am unable to find the Institution of a co-applicant, suggested reviewer or excluded reviewer. What should I do?
A: Please select “Other” from the searchable list.
Q: I am working on my Full Application. On the Required Approvals page, I can’t select my institution. What’s wrong?
A: When you click the Search button next to the Institution Name field, you may need to click “View All” in the pop-up window to view your host institution. This institution is populated from the one selected in the PI section.
Q: What types of required approvals should I include?
A: Indicate all necessary approvals (animal care, biohazard, biosafety and ethical review board) for the conduct of the project, and whether they are included in the submission or will be provided at a later date. If you have selected “is included within the submission” as the Status of the approval, attach the document(s) to this section.
Q: I am a co-applicant on a proposal. What are the steps I need to follow?
A: Co-applicants must:
- Register on the OICR CaAwardNet system and receive a system account email address;
- Return to their CaAwardNet Portfolio page and consent to being a co-applicant; and
- Complete their Canadian Common CV.
Co-applicants must follow the November 2010 CaAwardNet Co-Applicant Guidelines. PIs must inform their co-applicants of the need to register on the OICR CaAwardNet system for a system account, and the need to complete an OICR-specific Canadian Common CV.
Q: How do I know if my co-applicants have provided co-applicant consent for my application?
A: On the Co-Applicants page, click the Validate Page button. An error message will be displayed if any of your co-applicants have not provided co-applicant consent for your application.
Q: What do I need to do after I have completed and submitted my Full Application on CaAwardNet?
A: Your host institution is responsible for reviewing and approving your application online. Contact your research services office, inform it of your OICR application, and ask it to contact the CaAwardNet HelpDesk to obtain Institutional Portal login credentials. Note that many institutional research offices already have such login credentials.
Check your Portfolio page on CaAwardNet to view the institutional approval status of your application, beginning December 1, 2010. If and when your application is approved, you must print out hard copies for submission to OICR. On your Portfolio page, click the Print/Preview icon in the Full Application row.
Refer to the November 2010 CaAwardNet Applicant Guidelines document for more details. In particular, note the hard copy submission requirements and deadline dates. OICR shall not grant any deadline extensions whatsoever.
Q: What services are available to me as an applicant?
A: Applicants to the PMRF will have access to a wide spectrum of technologies and services (e.g., genomics, proteomics, pharmacokinetics, imaging probe development, RNAi and high-throughput chemical screens) expertise and resources through OICR Platforms and Programs. Applicants are encouraged to seek collaborative arrangements through a variety of funding, contractual, and/or partnership mechanisms to obtain OICR Program and Platform services.

Q: As an applicant/co-applicant, is it necessary for me to use the collaborative services offered by OICR Programs and Platforms?
A: Collaborative services are provided to strengthen Ontario’s research capacity. It is strongly recommended that applicants take advantage of OICR’s competitive services as required.
Q: How do I request the use of collaborative services?
A: Please select the type of services you to wish to receive from the collaborative services chart and contact the appropriate contact person listed.You should have the following information ready prior to your discussion with the contact person:
- Principal Investigator’s name;
- Full mailing address;
- Phone number;
- Email address;
- Service(s) requested;
- Outline of the project proposal; and
- Estimated timeline for the services required.
Q: What types of funding arrangements will be available for collaborative services?
A: When the funding is derived from an OICR source (PMRF or another MaRS-based OICR Program/Platform administered by OICR) or an external grant whose PI is based at OICR and whose funds are administered by OICR, arrangements for the transfer of funds will be coordinated internally by the OICR finance team on a cost recovery basis, based on cost information from the service provider.
If the funding source is a non-MaRS-based OICR Program/Platform or an external grant for a non-MaRS-based PI whose funds are not administered by OICR, please contact the contact person of the external Program/Platform for service fee/rate schedules and an invoice will be sent to cover the costs, including applicable taxes.
Q: How will I include the collaborative services costs/details in the budget section of my application?
A: Once you have received confirmation from the contact person of the Program/Platform’s collaborative services regarding availability of the service(s), upload a letter of support outlining the estimated costs in the Attachments section (Budget Justification) of your full application.
Q: When will I receive funding if my application is awarded a grant?
A: The targeted start date for funded grants is April 1, 2011. The exact start date will be confirmed in Notice of Award letters.
Q: I am a returning reviewer. Is my old CaAwardNet account still valid?
A: Yes. If you cannot remember your system account email or password, contact the CaAwardNet HelpDesk. Please contact us if your email address has changed.
Q: How do I complete my financial reporting?
A: Our grants have varying requirements, but a financial report must be received at least annually for all grants. Please contact a member of the Grants & Awards team for more information.
